REGISTRAR JOB ADVERTISEMENT

Marist International University College (MIUC) is a Constituent College of the Catholic University of Eastern Africa (CUEA). The College located in Karen, Nairobi is a Roman Catholic Institution of Higher Learning founded in 1986 by the Marist Brothers of the Schools. The College invites application from suitably qualified candidates for the post of REGISTRAR:

Reporting to: Deputy Principal, Academics

JOB SUMMARY:

The Registrar is responsible for the supervision and management of all administrative and operational functions of the Office of the Registrar, including but not limited to, accuracy, security of all academic records of current and former students; facilitate effective student registration and enrollment; and overseeing the complete graduation process of the students.

KEY DUTIES AND RESPONSIBILITIES:

  • Responsible for effective administrative of academic systems in line with the best practices of the University policies and procedures;
  • Supervise and evaluate the Records and Registry staff ;
  • Organize and administer the records, registration and graduation functions, including admissions, transcript evaluations, and the College certification process;
  • Be responsible for collecting, recording, maintaining and reporting of student records within MIUC guidelines, e.g., grades, registration data, transcripts, transcript verification, and other associated audits;
  • Supervise the coordination, evaluation and certification of all graduation applications, while overseeing the complete graduation process;
  • Provide leadership and develop appropriate recommendations for the implementation of related technology application in support of enhanced services;
  • Ensure security and confidentiality of student records and transcripts; Ensure confidentiality of information that is not permitted to be used by anyone other than designated persons;
  • Develop and administer the departmental budget;
  • Liaise with administrators, deans, faculty, IT and counselors to facilitate and improve services to students;
  • Provide back-up for records and registration services;
  • Serve as Secretary of the Management Board, the Academic Board and Council;
  • Perform any other duties as assigned by the Principal or the Management.

KNOWLEDGE, EXPERIENCE AND QUALIFICATIONS

  • MBA, MSC or MA in a relevant field ;
  • Five years of experience in an administrative role in a learning institution;
  • Demonstrated understanding of the application of technology to deliver records and registration services;
  • Relevant professional post graduate qualification;
  • 3 years experience at a senior management level.

Reporting to: The Finance Officer

 JOB SUMMARY:

The Procurement Officer ensures that efficient and effective procurement procedures and practices are  followed in the University in line with the overall University policy statement in order to obtain quality goods and services for the University. 

KEY DUTIES AND RESPONSIBILITIES: 

  • Coordinate procurement of goods and services;
  • Ensure compliance to procurement procedures and practices;
  • Preparation of tender documents, adverts and notices;
  • Establish and update current procurement policies, procedures and practices;
  • Guide user departments on effective and efficient procurement procedures, specifications, and requests;
  • Disposal of obsolete, redundant and surplus items;
  • Prepare, attend and participate in procurement meetings;
  • Prepare and participate in both internal and external audits;
  • Verify procurement documents e.g. Local Purchase Orders, schedules, Request for Quotations, letters and reports;
  • Coordinate prequalification of suppliers, selections and negotiations.
  • Compile information and records to draw up purchase orders for procurement of goods and services.
  • Oversee stores and stock management.
  • Make monthly and annual reports on levels of stock, follow up stocktaking and expediting of ordered goods.
  • Perform any other duties as may be delegated by the Finance Officer or the Management

KNOWLEDGE, EXPERIENCE AND QUALIFICATIONS

 Diploma in Purchasing & Supplies Management.

  • Two years’ relevant working experience.
  • Good working knowledge of Public Procurement Act and Guidelines.
  • Certificate in Computer Proficiency.

LECTURER IN DEVELOPMENT STUDIES OR PROJECT MANAGEMENT

 Organizational Relationship:  Reports to the Head of Department Arts and Social Sciences.                             

Job Description

  • To teach, conduct research, publish and participate in seminars;
  • To supervise students’ research work;
  • To ensure that quality continuous assessment of students takes place and feedback promptly given to the students;
  • To be available for students and staff for office consultation;
  • To ensure regular review of his/her courses in conformity with quality assurance reports and emerging international best practice;
  • To attend and effectively participate in Departmental and University meetings and functions;
  • To actively participate in Departmental/University community service activities;
  • To uphold the good image of the Department and the University in the manner in which he or she carries out his or her duties;
  • To be committed to continuous improvement of the Department and University;
  • To perform any other official duties that may be assigned by the immediate supervisor and University Management.

  Minimum Qualifications

  • Should have a PhD degree in Development studies or Project Management;
  • Must have at least two (2) presentations at national or international conferences;
  • Must have at least two (2) years teaching experience at university level;
  • Must have supervised at least four master’s theses;
  • Should have at least two (2) publications in peer reviewed journals;
  • Should be proficient in computer packages.
